Role Description:

The Recording Manager oversees the recording processes to ensure accurate, timely submission of documents to county recorders. This role ensures compliance with state and local regulations, maintains strong relationships with county offices, and provides leadership to the recording team.

Key Responsibilities:

  • Document Oversight: Manage the preparation, review, and submission of title and escrow documents for recording with county offices.
  • Compliance: Ensure all recordings comply with state, local, and company policies and procedures.
  • Team Leadership: Supervise, train, and support the recording team, promoting high performance and professional development.
  • Quality Assurance: Implement and monitor processes to ensure document accuracy and timely recordings, addressing rejections or delays proactively.
  • Vendor/County Relationships: Build and maintain strong relationships with county recorders, title vendors, and other stakeholders to facilitate efficient recording processes.
  • Process Improvement: Analyze workflows to identify opportunities for efficiency improvements and ensure optimal utilization of recording technology and software.
  • Reporting: Generate and present metrics and reports on recording performance, including submission timelines, error rates, and cost management.
  • Customer Support: Address recording-related inquiries or escalations from internal and external customers professionally and efficiently.

Requirements:

Qualifications:

Education & Experience:

  • High school diploma or equivalent required; bachelor’s degree in business, real estate, or a related field preferred.
  • Minimum of 3-5 years of experience in title or escrow services, with at least 2 years in a leadership or supervisory role.
  • Strong understanding of recording requirements, title insurance, and escrow practices. Familiarity with state and local recording regulations.

Technical Skills:

  • Leadership and team management.
  • Excellent attention to detail and organizational skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in industry-specific software (e.g. SoftPro) preferred.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.

Applicants must be currently authorized to work in the United States. We are unable to consider candidates in states not listed for remote work.
  • May be able to work in-office at our Virginia Beach, VA, if local.
