Title: Project Coordinator Location: 184 Hope Street Providence Rhode Island 02912 Hybrid: 3 Days Onsite, 2 Days Remote Duration:4+ Month Job Description The biomedical engineering (BME) programs at Brown University (BU), Columbia University (CU), Johns Hopkins University (JHU), and Yale University (YU), have joined together in the Alliance for Relevant and Inclusive Sponsorship of Engineers (ARISE). ARISE Alliance is a five-year National Science Foundation (NSF) grant award between these four universities to promote sponsorship and the career success of underrepresented scholars in biomedical engineering. The members will aim to promote equity and inclusion by extending the professional networks and opportunities of young biomedical engineering scholars, and in doing so, to increase the visibility, collaborations, and professional successes of diverse young researchers.
The ARISE Project Coordinator supports the Principal Investigator's (PI) focus on harmonization of hiring standards among the four universities. The incumbent will support alliance operations; develop data collection and privacy protocols; manage data collection and databases; analyze data and develop reports; manage NSF reporting; oversee communications to partners and participants; maintain and manage the ARISE website and dashboard; and scholar recruiting and development activities. They will work with Coordinators at the partner institutions to schedule regularly occurring Zoom meetings and in-person events for all ARISE Alliance partners.
Major Responsibility: Project Management. 30% - Manage grant reporting and related programmatic updates and presentations including delegating tasks to research personnel, compiling research contributions, editing and formatting documents, reviewing reports, manuscripts, and documentation for accuracy, preparing written content and visuals for manuscripts and presentations, and submitting reports and updates in a timely manner.
- Analyze, create, and write multiple monthly and quarterly reports across research teams for submission to sponsors.
- Develop study materials and assist with managing IRB submissions.
- Support preparation of quarterly and yearly reports to study sponsors.
- Coordinate and provide support for onsite and offsite/field research activities including scheduling, conducting research visits, and monitoring enrollment and retention activities.
- In conjunction with the PI, develop standard operating procedures related to data collection methods and privacy. Updates the ARISE Alliance database on a monthly basis. Creates monthly updates on data indicators for the ARISE Alliance dashboard.
- Coordinate with Partners to recruit 15-30 scholars in each 18-month cohort. Monitor participant tracking and retention across multiple institutions. Coordinate scholar meetings with Brown sponsors.
- Assist in the development of training materials and ensures they are available to faculty sponsors. Monitor progress.
- Monitor the award's financial management, in conjunction with the Research Administration team, including annual funding updates and planning PI academic and summer salary.
Major Responsibility: Data Collection, Management, and Visualization. 30% - Design, implement, and optimize data collection strategies to gather information related to community engagement activities, partnerships, and impact.
- Ensure data accuracy, consistency, and completeness.
- Maintain and update databases, spreadsheets, and other data repositories to store collected information.
- Provide support to staff involved in data collection processes.
- Utilize data analytics tools and software to analyze collected data and extract meaningful insights.
- Create visually appealing and informative data visualizations, reports, and dashboards for internal and external stakeholders.
- Interpret data findings and assist in making data-driven recommendations to enhance community engagement efforts.
Major Responsibility: Coordinate and manage ARISE Alliance Communications, Website, and Dashboard. 30% - Ensure efficient communication between the PI and the partner institutions Johns Hopkins, Yale, and Columbia.
- Coordinate and lead meetings with ARISE partner institution counterparts including creating agendas, taking and disseminating notices, and scheduling meeting spaces and/or teleconferences.
Major Responsibility: ARISE Alliance Administrative and Event Support. 10% - Maintain calendar for ARISE meetings and events, including but not limited to: regularly occurring video conference meetings with participants, in-person meetings with partner institutions, and large-scale conferences with participation from all partners
- Create and disseminate agendas in conjunction with the PI; develop meeting schedules; transcribe meeting minutes, noting action items and distribute to participants and maintain minutes history; track progress on action items; and schedule meeting spaces and/or teleconferences.
