THE IMPACT YOU CAN HAVE 

The Administrative Assistant for People Success is responsible for logistical support for the Officer level leaders of the People Success department.  Supporting these leaders in the most efficient use of their time by managing the executive’s schedule, travel and meeting arrangements, drafting correspondence and presentation documents, expense reporting, and communications to their teams and internal partners.  The work requires independent judgment and analysis involving situations with frequent access to confidential and highly complex information in excess of 50% of the time. Additionally, this position will also support the digital delivery of Field based eLearning courses via the Learning Management System (LMS). 

YOU'LL ACCOMPLISH THESE GOALS BY:

  • Manage and perform administrative functions for the People Success Officer Team including but not limited to, scheduling meetings, strategically managing and maintaining Outlook calendars, planning travel arrangements, managing expense reports, reconciling department budgets, and preparing aesthetically pleasing presentations to support the needs of the business
  • Communicate on behalf of the People Success Officer Team directly with vendors, staff, internal departments, and others providing a bridge for smooth communication, demonstrating leadership to maintain confidentiality, trust, and support with staff at all levels of the organization. Participate with executives on select conversations and serve as trusted confidante to facilitate completion of deliverables and assignments.
  • Participate as a member of the collaborative Executive Assistant team by contributing effective communication, sharing knowledge and best practices, and supporting newer members of the team in their learning and development. Help to create an environment of inclusion, cultivating trust across departments.
  • Support and assist the Chief Executive Assistant, CHRO with meetings and events such as leadership offsites, Townhalls, and department meetings. This includes scheduling, researching off-site event space, speakers, consultants, or activities, ordering food, preparing agendas, set-up, taking notes, ensuring technical/AV support, providing follow up, summaries and other general support functions.
  • Responsible for uploading and delivery of all field related digital training content via the Learning Management System (UltaLEARN). 

THE ESSENTIALS FOR SUCCESS 

  • 3+ yrs. of executive level assistant experience.  Most recent position preferably supporting an officer of a publicly held company.
  • Extensive experience with calendaring, organizing meetings and making travel arrangements.
  • Strong analytical, organizational and project management skills.  Ability to handle multiple tasks at one time including managing multiple clients and deadlines.
  • Superior planning and organization skills.
  • Proficient with Word, PowerPoint, Outlook and Excel.
  • Excellent communication and interpersonal skills and experience interacting with high profile executives and clients/vendors.
  • Positive and professional appearance and demeanor.  Takes a problem solving and helpful approach in dealing with others.
  • Ability to handle the highest level of confidential information.

The pay range for this position is $57,300.00 - $70,000.00 / Year with the opportunity for eligible associates to earn additional compensation pursuant to the Company’s bonus plan. Exact pay will be based on factors including, but not limited to relevant education, qualifications, certifications, experience, level, shift, geographic location, and business and organizational needs. Full-time positions are eligible for paid time off, health, dental, vision, life and disability benefits. Part-time positions are eligible for dental, vision, life, and disability benefits.
