Job Description
We are looking for an Events Coordinator to join our team in New York, NY. This contract position involves overseeing the planning, coordination, and execution of various high-profile events and meetings. The role requires a proactive and detail-oriented individual who thrives in a fast-paced environment and is comfortable managing multiple priorities.
Must be able to have a flexible schedule - weekdays, weekends, evenings, etc.
Role Overview
The Meeting & Events Coordinator supports the daily execution of high-profile, fast-paced corporate events ranging from 10–150 attendees, including VIPs in the sports and entertainment industries. This role is highly visible, requiring professionalism, discretion, and the ability to manage multiple events simultaneously across several floors (2–6).
This is a hands-on, physical coordination role — not desk-based. The coordinator will serve as the main on-site liaison among the client, internal facilities team, vendors, security, catering, and building management.
Key Responsibilities
• Coordinate all aspects of on-site events, including setup, breakdown, catering, and vendor access.
• Liaise with landlords and security; manage access arrangements and Certificates of Insurance (COIs).
• Partner with external event agencies to ensure documentation and schedules are up to date.
• Be present and visible during events to support clients, vendors, and staff.
• Oversee space usage, equipment setup, and AV/security coordination.
• Support frequent evening and weekend events (especially around holidays).

• Comfortable being on your feet and moving between multiple event spaces.
