We have an opportunity for an Event & Meeting Coordinator to support coordination activities related to planned company meetings and events. In this role, you will be a key member in assisting with event planning and execution, along with coordination of promotional products/gifts and assistance with event registrations.

What You'll Do

As an Event & Meeting Coordinator, you will:

  • Submit supplier invoices, requisitions, or purchase orders for procurement or payment. Collaborate with procurement and accounts payable teams to ensure timely payment of invoices. Reconcile monthly credit card expenses as needed/requested.
  • Create and maintain department files to assist in maintaining orderliness in recordkeeping. Accurately update corporate events calendar and distribute monthly to distribution list. 
  • Create, format, and print a variety of event collateral, which includes but is not limited to cards, table tents, name badges, etc. Submit requests into the marketing project management system to create physical and digital event assets, which includes but is not limited to, invitations, signage, registration site and mobile app imagery, etc. Collaborate across marketing teams to ensure projects are completed according to timelines.
  • Coordinate event registration website design and mobile application builds by collaborating with internal stakeholders across the organization to understand and communicate requirements ensuring all functional needs are met. You will be responsible for updating and maintaining data as requested, as well as registration reporting.
  • Order and maintain inventory of event supplies, office supplies, promotional products, gifts, etc. Track expenditures and provide to event manager/planner for full budget reconciliation.
  • Assist with meeting and event-related research to include: promotional products/gifting, event activities, transportation, restaurant and private dining options.
  • Provide onsite support of meetings and events as needed to include assisting with participant registration, event/meeting set-up and tear down activities, and general assistance throughout event. This may require occasional travel outside of the Stevens Point area.
  • May coordinate smaller internal meetings and events that require name badges, micro-registration sites, meeting tents, signage, simple catering requests.

Additionally, you will:

  • Work with marketing team on event projects that require creative and communications support.
  • Maintain shipping lists and work with shipping department to securely package and ship materials to events. Create shipping labels and record tracking information.
  • Compose, format and type a variety of correspondence, reports, forms, etc. as necessary. May compile, calculate and/or summarize data for reports for internal or external use, often using multiple sources.
  • Maintain report files of computer-produced and manual reports, updating and distributing on a weekly, monthly or quarterly basis as appropriate.
  • Assist with meeting preparations by scheduling rooms, coordinating schedules, obtaining and assembling materials and reports, and other related duties. 
  • Perform other job-related duties as assigned from time to time.

What it Takes

  • Bachelor’s Degree or equivalent work experience
  • Minimum 3 years of related work experience
  • Experience in event management and travel industry preferred. Previous experience in event project coordination preferred
  • Ability to work within specific time limitations and deadlines. Working some evenings and weekends will be required.
  • Ability and attitude to provide superior customer and stakeholder service while being open to change
  • Strong organization, communication, and human relations skills
  • Proficient in the use of personal computers, automated systems, and software applications including Word, Excel and PowerPoint
  • Associate must have the ability to travel as necessary to satisfactorily complete their job responsibilities as assigned.
